We are in the highly specialized field of aviation planning.
Over the past 36 years we have been in business, we have participated on over 500 development projects and our team is growing.
Though our field is specialized, the needs of our office are similar to most small office environments.
We are searching for a reliable individual with prior experience as an Administrative Assistant to help keep up with daily and monthly tasks.
These tasks primarily include tabulating timesheets, new project onboarding tasks, gathering receipts for reimbursable expenses, maintaining client files, ordering office supplies and other related support tasks.
Those with experience in a law office, accounting firm, or similar professional organizations are encouraged to apply! We maintain an office-casual dress code and support a flexible schedule, as long as the schedule is predicitable.
Candidate should also be dog friendly and expect to see the owner's very friendly sidekick looking for head scratches.
Responsibilities:
- Provide administrative support to help keep the office running smoothly - Primary duties:
data entry, maintaining and updating records, and generating reports - Some travel arrangement assistance - Maintaining physical and electronic filing of historical project documents - Manage office supplies inventory and place orders when necessary - Handle sensitive information in a confidential manner - Maintain a clean and organized office environment Skills:
- Computer literacy:
Proficient in using Microsoft Office (Word, Excel, Outlook) and other relevant software applications - Customer service:
Excellent interpersonal skills with the ability to provide exceptional customer service to clients and colleagues - Project coordination:
Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously - Data entry:
Accurate and efficient data entry skills with attention to detail - Clerical:
Knowledge of general office procedures and equipment such as printers, scanners and phone systems - Advanced knowledge of PDF editing and form completion - Review:
Excellent grammar and spelling abilities with a keen eye for inconsistencies - Self-motivating:
Other staff members travel out of state frequently and may not be in the office every day.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
