is a fast-growing Temecula law practice concentrating in estate planning, trust administration, probate litigation, and employment law for employers.
We are seeking a candidate with the right mix of skills, personality, and professionalism to fill the key role of Administrative Assistant to support our legal staff.
This is a full-time hourly position that offers a competitive salary and benefits package, including paid vacation and holidays, and a positive and collaborative work environment.
Responsibilities Keep the office running smoothly.
Engage with potential and existing clients and manage client experience in person, over the phone, and through electronic communication.
Answer, screen, qualify, and manage incoming calls and leads.
Attend and ensure flow of legal document signing meetings.
Monitor, prioritize and respond to incoming communications, including mail, deliveries, and e-mail.
Manage and maintain legal staffs' schedules, appointments, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
File and retrieve documents and reference materials.
Conduct research, collect and analyze data to prepare reports.
Review operating practices and suggest and implement improvements.
Organize and order office supplies and keep equipment operational.
Liaise with and assist staff at all levels.
Perform other general office duties as needed.
Qualifications 2
years' proven work experience as an administrative assistant.
Law firm experience a plus and experience with estate planning, probate, and/or trust or estate administration a major plus.
Superior verbal and written communication skills - this position requires exceptional telephone skills.
Excellent attention to detail and accuracy required.
Prior sales experience preferred.
Experience selling luxury goods or professional services a plus.
Top-notch follow-up and follow-through skills.
Intermediate to advanced Microsoft Office 365 skills, including MS-Word and MS-Office.
Current working knowledge of Clio Grow and/or Clio Manage or other CRM or law practice management software a plus.
